ASAP Exhibitor Agreement Complete and sign the Exhibitor Agreement and email to Sheetal Reddy or fax to 925-416-7702.
ASAP Logo / Product Description E-mail your logo (.EPS or .AI preferred) and a 100-150 word product description and web site link to Sheetal Reddy.
ASAP Raffle Item To have your raffle prize(s) announced in Sleeter Group newsletter(s) send in your raffle prize description and image. (We will also post your prize on the conference marketing site). 
7/30/2010 Exhibit Fees Balance Due Exhibit fee balance due (you have been or will be invoiced). 
8/27/2010 Product Demonstration Please schedule your product demonstration with Doug Sleeter (We will host with GoToMeeting or you may host). Your 30+ minute demo will place your product/service under consideration for our "Awesome Add-On Award". To schedule: call 925-416-6300 and ask for Sheetal.
9/1/2010 Exhibit Booth Selection You will be contacted to make your booth selection based on when you signed up for your exhibit level. 
9/30/2010 Raffle Promoted in Conference Guide - Print Deadline Deadline to submit raffle item description in order to have it included in the Conference Guide. 
10/1/2010 Conference Tote Insertion Order Placement Last day to sign up to have your collateral item inserted in each attendee's conference tote bag (additional fees apply).
10/1/2010 Conference Program Guide Ad - Print Deadline If you have signed up for a Conference Program Guide ad, your artwork is due on this date.
10/1/2010 Estimated Attendee Count We will email you an estimated attendee count for purposes of ordering collateral materials, post cards, attendee tote insertions, etc. 
10/1/2010 Prepare Your Post Card Mailing If you plan on mailing attendees a pre-event post card, begin to prepare your post card art now:  target mail date (first class) is suggested to be no later than 10/20/10. Addresses will be provided 10/15/10. Approximately 70% of conference attendees opt to "share their information with exhibitors". (Sorry, we do not provide email addresses or phone numbers of attendees).
10/13/2010 Attendee "Opt -In" Contact List  We will email you the Attendee "Opt in" contact list. 
10/17/2009 Hotel Sleeping Room Reservation Discount Rate Ends October 17 is the last day to book your booth staff hotel rooms under the group discount rate at the hotel. Click here to reserve your room online. If you would like to reserve your room over the phone, please call 1-888-266-5687 and mention to promotion code SPSLE0.
10/18/2010 Shipping to Warehouse First day freight can arrive at Viper warehouse.
10/21/2010 Exhibitor Attendee Names Due Please use our online system to register your booth staff. Be sure to select exhibitor as your registration type. To check how many passes your level includes, click here. Please note: these passes are for your exhibit staff only and cannot be given away to attendees.
10/25/2010 Last Day to Order Booth Furniture and Accessories This is the last day to order any furniture or accessories for your booth via Viper Tradeshow Services.
10/26/2010 Conference Tote Insertion Arrival Date If you have signed up for a "tote insert", this is the last day that shipments can arrive at our tote assembly fulfillment vendor. Shipping information will be sent to you in a separate email.
TBD Order your Booth A/V Items Last day to order additional booth A/V (monitors, computers, extra power, etc.) for your booth.
11/1/2010 Shipping to Warehouse This is the last day you can ship to the warehouse without incurring a late charge.
11/5/2010 Shipping to Warehouse with Late Fee This is the last day the warehouse will be accepting shipments. you will incur a 30% late charge. We recommend you ship directly to the hotel to avoid these fees.
11/5/2010 Shipping to Hotel This is the earliest day packages may arrive at the Hotel without additional storage fees. Please click here for additional shipping information.
11/8/2010 Exhibitor Set-Up & On-site Registration

Exhibitor on-site registration and set-up begins at 12:00 pm on November 8.

11/8/2010 Open Exhibits / Welcome Reception (5:00 pm - 8:00 pm) The Exhibit Hall will be open during the "Welcome Registration Reception". Your booth MUST be set up by 5:00 pm. No exhibit set up will be allowed on 11/8 after 5:00 pm. Alternate registration and set-up is on November 9 at 8:30 am. Don't miss this critical Open Exhibit time!
11/9/2010 Late Arrivals: Alternate Exhibitor Set Up If you are not able to set up your booth on Monday, you may set up on Tuesday between 8:30 am -10:30 am. You must be completely set up by 10:30 am as attendees will arrive in the Exhibit hall at 10:45 am. 
11/10/2010 Exhibit Tear Down (12:45 pm - 5:00 pm) Please plan on packing up your booth between 12:45 pm – 5:00 pm. 
11/23/2010 Exhibitor Survey We will email you our post conference Exhibitor Survey. Please provide us with your feedback!
